The module enables you to integrate Archimed eDMS with other software solutions (core systems), used by your organization and automatically read and/or write information from one system to the other.
This is how you build a unified working environment for the exchange of data, documents and information.
This is an integrated online platform for the provision of electronic services via the Internet to external users for the organisation - citizens, companies, state and municipal organisations, etc.
The module allows external users to register documents themselves over the Internet, thus automatically is launched an internal service in Archimed to process their request.
The module is integrated into the official WEB page of the organisation and allows you to:
- automatically start a service, electronically
- check the status of the requested service, electronically
- obtain the result of the service electronically
A module that generates an Internet code to access a certain file for tracking its status.
Features of Archimed WebCheck:
- Online progress tracking on a paper Service request;
- The external user enters the registration code and internet access code generated and provided by Archimed eProcess to the sender;
- As a result, it sees all actions reflected by internal operational staff on the relevant document;
- Each external user sees only those documents that he/she has initiated;
A specialized module developed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council on the GDPR and on the deletion of personal data after the expiry of the document.
The mechanism is designed to fulfill the following objectives:
- To bring Archimed eDMS in compliance with Regulation (EU) 2016/679 of the European Parliament and of the Council and its part about the deletion of personal data, by adding functionality that would enable the deletion of data after a certain period of time;
- To reduce the volume of personal data stored, thereby limiting the amount of potential damage that would occur if the database was stolen;
- To reduce the volume of unnecessary information stored by organizations and free up server resources;
- To provide the opportunity to draw up a reference/list describing all of the documents prepared for deletion;
This functionality completely replaces and extends the integration with Microsoft Outlook available from previous versions. It can be used both through the desktop and through the web module, regardless of the email client used by the respective organization.
The module provides an opportunity for organisations to exchange electronic documents by e-mail with any correspondents, tracking all the history of correspondence including all emails, related documents and replay messages.
The main goals achieved with the new development are the following:
- Providing an opportunity for organizations to electronically exchange documents with correspondents
- Ensuring the possibility of using public and/or departmental infrastructure for document exchange
- Using an established and mainstream method for exchange of messages
The ability to store unstructured content (electronic archive files, e-Exchange messages, emails, etc.) outside of the main Archimed database in multiple different repositories.
This enables:
- Significantly reduce the size of Archimed's main database, with the possibility of longer-term use of the free, but fully functional, version of Microsoft SQL Server - Express Edition (working with databases up to 10 GB in size)
- Significantly simplify the procedures for updating, maintaining and creating backup copies of the Archimed database
- Optimizing the speed of data access, by distributing it in different storages, according to its type and moment of receival
- Additional protection of stored content, thanks to the support of repositories with limited read-only access
- Availability of malware protection filters, optical content recognition filters and content indexing filters
- Currently supported repositories for unstructured content are:
- The file system and network shared folders
- Different from the main Microsoft SQL Server database or server
- The new unstructured content storage system allows integration with repositories such as other DBMS, web services, and specialized solutions of other providers
Through this module, notifications that the system sends can now also be in the form of short SMS messages, thanks to the integration with Twilio or another SMS service provider.
The following methods may be used to check content for malicious code:
- Integration of malicious content scanning with installed anti-virus software (AMSI);
The content is checked shortly after it is added to the system.
Two-factor authentication when authenticating a user in Archimed eDMS. <b>Each user can be set to receive a one-time code from their respective account in the system to verify that they are indeed the person logging into their account in Archimed.
Two possible channels are provided to obtain this one-time login code:
- Through SMS
- Through an email message
Two-factor authentication (2FA) functionality is a popular tool that adds another layer of security to system user profiles.
Additional module that enables you to retrieve data about a certain correspondent by entering its Unique identification number (UIN) from internal for the organization registries of databases where this information is contained.
The system has one of the best means and capabilities for optical character recognition (OCR) in scanned images using optical recognition technology from ABBYY Software House.
In this way, you can index the documents and perform a full-text search on the contents of the scanned documents, thus finding the information you need quickly and easily.
The system can also operate using the optical character recognition (OCR) technology of Tesseract.
